How to Invest Wisely on Office Stationary

Today a friend called me at the office to check on corporate identity. She wanted to revamp her business card, letterhead, invoice and envelopes. Her brother, who was studying graphic designs, did a wonderful job of creating them. However, he picked a really beautiful but costly paper called Star Dream to print the office stationary. Her dilemma was she has this big presentation coming up in 2 weeks and these new stationary will be great to impress the prospective client. However, her lease is expiring in 2.5 months time. What can she do to save on double printing? Plus, using stationary printed on Star Dream is going to be costly, is there any way to save money?
My solutions were very simple but extremely practical:
1. Print the logo and company’s name on the Star Dream paper stock. Leave out the address section.
She can get her brother to provide a template where the address is placed at the appropriate area. The address, phone, email and website URL will be printed simultaneously with whatever document she is printing using her Canon or Epson printer. When she moves to the new premises, just get the template changed. This way, she only needs to print her letterhead once.
2. Use the same printed stock for invoice.
Use the template mentioned in #1 to create another template – an invoice template – with the word “Invoice” prominently shown, appropriates tables and/or columns to insert text and figures and the usual terms and conditions. Any office administrator can tell you that we use more papers on presentations and reports, than invoices. So save some money here, don’t bother to print invoice.
3. Use Photo Paper for Internal Circulation
For documents that were meant for internal circulation and faxes, go to a friendly office supplies and ask them to provide you high quality photo paper. Create the necessary templates and print on such papers. Just check whether you are using laser jet or inkjet printer and order the appropriate type. She can even get colored papers to differentiate the different functionalities of the documents.
There are certain stationary that you should absolutely go to a professional printer to ensure you get quality products that clearly demonstrate your company’s brand personality. However, there are areas that you can DIY by getting stocks from an office supplies company and print with your office printers.
Appropriate corporate image should be established and maintained at all time. However, that does not mean you should spend lavishly without thinking of the company’s running costs and expenses. You need to do some thinking and balancing here.Well, save some trees along the way.
